How we use information we collect from you

The main ways in which we use the information you provide to us is to deliver a service to you that you have engaged us for. This may include but is not limited to:

  • Seeking your views or comments on the services we provide
  • Notifying you of changes to our services
  • Processing a job/volunteer application
  • If you are an employee/volunteer, administering payroll, expenses and pension payments

 

As part of the registration process as a potential or confirmed client, we collect personal information. We use that information for a few reasons: to deliver the service you have asked us to provide, to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied.

We will never sell your data, and we will never share it with other organisations for the purposes of their own marketing. We may however pass staff information to our third-party service providers for the purposes of payroll and pensions administration.

How long we keep your information for

We only hold your data only for as long as it is required. We are wholly aware of our obligations under GDPR, and we make every effort to ensure that we only hold on to your data for as long as it is required.

By company law we are required to retain information related to employee details, for seven years, at which time it gets securely destroyed.

Your Rights

We have put this notice together to give you more control when it comes to your information and how we use it. When considering the law in this area, you are afforded certain rights in terms of viewing the information we hold about you, correcting that information if necessary, and asking us to delete it.

Accessing the information we have about you (subject access request)

You have the right to request a copy of the information we hold about you. This is known as a Subject Access Request.

To make a Subject Access Request, please make a request in writing, addressed to BVDS Architects, Studio 16, London Fields Studios, 11-17 Exmouth Place, London E8 3RW.

We will complete your request within 30 days of our receipt.

Opting out of our communications

It is your right to withdraw consent (opt-out) to receive our communications at any time. We will act on requests of this kind within one month of receipt.

Deleting the information we hold about you

You have the right to ask us to delete the information we hold about you. This is different from opting out and means that we will erase all history of our interaction with you, as far as our legal obligations allow.

When you give us personal information, we take steps to ensure that it’s treated securely. All information you give to us is stored on secure servers and password protected documents.

Our website uses cookies to collect information.  This includes information about browsing by people who access our site.  This includes information about pages viewed, products purchased and the customer journey around our websites.

We may update this policy from time to time. If we make any material changes to this policywe will let you know. We will also make it clear on our website that we have updated our terms.
